Project Manager

About the Role 

Foundry512 is seeking a highly organized, collaborative, and proactive Project Manager to keep our campaigns moving forward with precision and impact. As a key member of our operations and delivery team, you’ll be responsible for managing timelines, resources, and communications across multiple client accounts and internal initiatives. 

This is a hands-on role that requires strong project coordination skills, creative problem-solving, and the ability to lead cross-functional teams across media, strategy, creative, and account services. You’ll be the operational backbone ensuring campaigns are launched on time, within scope, and above expectations. 

 

Key Responsibilities 

Project & Workflow Management 

  • Manage project timelines across departments (creative, media, strategy, development) from kickoff to delivery. 
  • Create, update, and track detailed project plans in Asana, maintaining clear ownership of due dates, approvals, and deliverables. 
  • Organize and lead project briefings, check-ins, and reviews to maintain alignment across all team members. 
  • Route jobs through all appropriate departments, ensuring creative, strategic, and technical standards are met. 
  • Anticipate roadblocks and proactively flag risks, adjusting timelines or resources when needed. 
  • Document and maintain project history, assets, and communication logs in SharePoint and client folders. 

File Management 

  • Maintain accurate and organized digital files throughout the full lifecycle of each client project. 
  • Ensure all project documents; briefs, contracts, assets, approvals, and final deliverables are stored correctly and consistently in the agency’s cloud systems. 
  • Archive completed work to the company’s long-term storage system once projects are closed or transitioned. 
  • Partner with operations and account teams to enforce file naming conventions, version control, and folder structures that ensure team-wide accessibility and compliance. 
  • Monitor storage usage and help enforce cleanup and archival routines across active and completed projects. 

Client & Internal Communication 

  • Serve as the operational point of contact for internal teams and client-side project leads. 
  • Attend and contribute to client status calls, capturing key action items and deliverables. 
  • Collaborate closely with Account Services to maintain up-to-date client trackers, hot sheets, and reporting documents. 
  • Communicate key updates to stakeholders regularly, ensuring expectations are aligned and met. 

Resource & Capacity Planning 

  • Coordinate with department leads to align team availability and skills with project needs. 
  • Manage freelance and vendor task assignments when internal capacity is limited. 
  • Support operational planning including team bandwidth reviews, launch calendars, and workback schedules. 

Quality Assurance & Accountability 

  • Maintain quality control throughout the project lifecycle, ensuring all assets meet brand, legal, and technical standards. 
  • Facilitate final checks, internal reviews, and proper documentation of changes prior to delivery. 
  • Support agency processes around version control, naming conventions, and approval sign-offs. 

Leadership & Collaboration 

  • Support the Operations Manager in developing new SOPs, sprint planning protocols, and cross-department workflows. 
  • Step in to support pitches, onboarding, and internal initiatives with clear project documentation and timely follow-up. 

 

Qualifications 

  • 3–5 years of experience in a project management or traffic management role within a creative or advertising agency. 
  • Strong familiarity with Asana, SharePoint, and cloud-based collaboration tools. 
  • Experience managing multi-channel campaigns including digital, print, OOH, broadcast, and content. 
  • Impeccable organizational skills and attention to detail. 
  • Excellent communication and interpersonal skills, able to keep teams aligned and informed. 
  • Experience in performance marketing, healthcare, higher education, or B2C service sectors is a plus. 

 

Preferred Skills 

  • Familiarity with creative operations best practices including sprint planning, Agile-lite workflows, and scope management. 
  • Experience managing multiple timelines across remote and hybrid teams. 
  • Ability to work under pressure with grace and a solutions-first mindset. 

 

Full-Time | Remote-Friendly (CST or EST Hours Preferred)
